Who we are

Full Cover Media Ltd ("FCM", "we", "our") is an installation company specialising in window displays and event installations for the retail sector. We are registered in England and Wales. Our registered address and data controller contact is available by emailing admin@fullcovermedia.co.uk.

What data we collect

Through our Client Portal and operational systems, we may collect: contact names, email addresses, phone numbers, job site addresses, project manager details, job-related documents (such as RAMS, site surveys, and permits), and photographs taken during installations. For crew members, we collect names, contact details, and job performance data including start/end times and GPS location at job start only.

Why we collect it

We process personal data on the basis of contractual necessity — we need this information to deliver installation services safely, communicate with project teams, and fulfil our obligations under our service agreements. For crew data, processing is necessary for the performance of our working arrangements and compliance with health and safety legislation.

How we use it

Your data is used to: coordinate installations, communicate with project managers, generate job reports, manage crew scheduling, send automated notifications about job status, and maintain accurate records for dispute resolution. We do not use your data for marketing unless you have given separate consent.

Who we share it with

We do not sell, trade, or share your personal data with third parties for their marketing purposes. Your data may be processed by the following service providers who act as data processors on our behalf: Supabase (database hosting, EU region), Vercel (application hosting), Resend (transactional email delivery), and Google Workspace (internal email and document management). All processors are bound by appropriate data processing agreements and maintain industry-standard security certifications.

Data security

All data is transmitted over encrypted HTTPS connections. Our database is hosted in the EU (Ireland) with encryption at rest. Access to administrative systems is restricted to authorised personnel. We do not use tracking cookies, third-party analytics, or advertising scripts on any of our systems.

How long we keep it

Job records and associated personal data are retained for six years after job completion, in line with UK limitation periods for contractual claims. Crew performance data is retained for the duration of the working relationship plus two years. You may request earlier deletion where we have no overriding legal obligation to retain the data.

Your rights

Under UK GDPR, you have the right to: access the personal data we hold about you, request correction of inaccurate data, request deletion of your data (where we have no legal basis to retain it), object to processing, request restriction of processing, and request data portability. Cookies

Our systems do not use cookies for tracking or advertising. The Client Portal and Crew App use only essential session data stored in your browser's local storage to maintain your login state. No third-party cookies are set.

We may update this policy from time to time. Material changes will be communicated via our Client Portal or by email. The date at the top of this page shows when it was last updated.
